
Rules for Exhibitors during
the Magnificon EXPO 2026

§1
Via the application form, the Exhibitor specifies the floor space they wish to rent, as well as its type. Available spaces:

There is a possibility of sharing one module between 2 artistic booths.

A module is a space measuring 2 m x 2 m. The rented space does not include any furniture, but it is enclosed by trade-fair partitioning (OKTA walls). A sales booth may be arranged with your own furniture, but it is not possible to opt out of the trade-fair partitioning or to set up your own tent. The following can be rented from the organizer: tables at PLN 50 net (dimensions 80 cm x 80 cm), chairs at PLN 5 net, as well as additional elements: shelving units, shelves, carpeting, lighting points, glass display cases, and a refrigerator, according to the available price list. Other elements are arranged individually, subject to our capabilities: wystawca@miohi.pl.
Furniture with a guarantee that it will be ready on site can be ordered until 30.11.2026.
* An ART booth may be rented only if all goods qualify as handicrafts (items made in a non-industrial manner with artistic value, such as handmade jewellery, clothing and other tailored items, original drawings/graphics sold on various media, scrapbooking, hand-sewn plush toys, prints of original 3D models, etc.). If the booth will also display other products, gadgets with photos, 3D prints or commercial graphics, resold products, etc., the booth must be registered as a commercial (sales) booth. §2
Only the rented space may be used to display goods. It is prohibited to place stands, baskets, racks, etc., outside the booth's area, such as in communication pathways or other exhibitors' spaces. Attaching items to the EXPO KRAKÓW hall walls is not allowed; trade fair structures or personal stands must be used within the rented space. No external distributors, signs, or booth advertisements are allowed outside the booth.
§3
Booth fees must be paid via bank transfer before the event. Payment is due no later than 29.10.2026.
§4
Booth fees or parts thereof can be paid by providing attractions. Details are arranged individually.

Free passes are included with each rented area as follows:

If an artist booth is registered with two co-artists, one additional ticket for the co-artist is added to the above limits. In order to verify the number of artists at the booth, the second artist's portfolio must be attached in the appropriate place in the application form. If no such portfolio is provided, the free ticket for the co-exhibitor will not be granted and an additional exhibitor pass will have to be paid for. Requests to add a co-exhibitor can be sent until 21.11.2026. After this date, requests may no longer be considered.

§6
Additional booth staff not eligible for free passes must be listed in the form and pay 75 PLN net along with the booth fee. The number of additional passes is limited. Passes exceeding the limit are priced at the cost of a 2-day ticket (net).

Additional booth requirements, such as an electrical outlet (350 PLN net), must be specified in the application form.
§8
The organizers do not provide a sleeproom for exhibitors. The building is locked overnight, and staying inside is not allowed.

Exhibitors undertake to clear their booth by 22:00 on Sunday. If the booth is not vacated by that time, a fee for renting the Wisła hall will be charged according to the Expo Kraków price list.
Exhibitors are required to keep their booth open for the entire duration of the convention. Breaks are of course permitted, but a sign saying “back soon” must then be displayed. Arriving late for the opening of the exhibitor zone is permitted up to a maximum of one hour without informing the exhibitor coordinator. Exhibitors may close their booth and leave the convention grounds up to one hour before the exhibitor zone closes without informing the exhibitor coordinator. Failure to set up the booth or absence during the opening of the convention may result in not being accepted for future editions of Magnificon. Packing up the booth before the scheduled teardown hours without written consent from the exhibitor coordinator may likewise result in not being accepted for future editions of the convention.
§10
Goods may be sent by courier – however, the organizers must be informed of this in the application e-mail. Expo staff do not accept goods from couriers, so the shipment must be dispatched so that it arrives at the Expo only on Thursday or Friday. Otherwise, it will be returned to the sender. The parcel must also be labelled with the number and name of the booth to which it is addressed.
§11
All invoices will be issued electronically after the event and sent to the email address provided in the application form. If a paper invoice is required, please indicate this in the form.
§12
A VAT invoice for the booth can be issued. To do so, company details must be entered in the form. Cancellations or changes concerning the invoice must be reported to wystawca@miohi.pl by 15.10.2026. Requests for an invoice after this deadline will be processed for a fee of PLN 50 per invoice. Sending an invoice request after the specified deadline does not guarantee that the organizer will be able to issue one.
§13
Booths registered via the provided form that are accepted will be displayed on the website in the “Exhibitor Zone” section. Please fill in the part of the form describing your booth diligently, as it will be visible to all Magnificon attendees. Correctly completing the form significantly increases the booth's chances of being accepted. The description has a character limit specified in the application form. If the description is significantly longer, it will be shortened in full by the exhibitor coordinator. If more than one logo or description is provided, only the first file in order will be attached. Requests to change the description, sample booth photo, or link after booth acceptance can be sent until 30.11.2026 inclusive.
§14
The organizer reserves the right to refuse booth rental to exhibitors without providing a reason.
§15
The convention organizer assumes no responsibility for the legal status of sales conducted by exhibitors at the event.
§16
The sale of the following items is strictly prohibited:

Weapons and ammunition as defined by the applicable Weapons and Ammunition Act,

Bladed weapons with sharpened edges; items with blunt edges are allowed only if transported in a manner safe for other participants (e.g., packed in a cardboard box),

Explosives and pyrotechnics,
-
Flammable, poisonous, foul-smelling, or radioactive chemical substances,
-
At art booths – products and artworks created using artificial neural networks (AI-generated content),
-
Items and graphics that are illegal, offensive, or violate public decency or social norms,
-
Erotic items and content intended for adult audiences – these may only be sold in the 18+ zone, the description and regulations of which can be found here: ZONE +18.
If any of the above-mentioned items are found at a booth, the organizer may:

Demand immediate removal of the item from sale,

Remove the booth from the convention area without refund for the occupied space,

Remove 18+ products from sale and display if they are being offered outside the designated 18+ zone. A detailed list of what qualifies as content for the 18+ zone can be found in that zone’s regulations. ZONE +18 .
§17
Any Individuals working at booths must not have been previously convicted of sexual offenses.
§18
An exhibitor may sublet their booth to another entity only with the written consent of the organizer. Displaying another entity's goods without the knowledge and consent of the exhibitor coordinator may result in the booth being removed from the convention or a penalty of up to 100% of the booth fee.
Artist booths may declare such an intention via the form, and acceptance of the application is automatically considered acceptance of the second exhibitor. If one or more additional artists not included in the application wish to join an artist booth, written consent is likewise required. This consent also applies to displaying another artist's works in their absence, or so-called “guest boxes”.
§19
Booth applications are accepted from 18.07.2026 to 18.09.2026 via the application form available on the website. The organizer will send information about the acceptance, rejection, or waitlisting of a booth no later than 30.09.2026. Booth applications sent only by e-mail, rather than via the form, may not be considered.
§20
The organizer does not send confirmation of application receipt. We recommend sending a copy of the form to yourself when submitting it.
§21
Artistic booths in each zone are first subject to verification for compliance with the exhibitor regulations. After successfully passing this verification, 50% of the booths are selected by random draw, and 50% are selected by the convention organizers.
§22
If a booth is canceled, the exhibitor’s payment will be refunded as follows: 100% if the cancellation occurs by 21.11.2026. The organizer will process refunds within 21 days after the event.
§23
Cancellations after the above deadline will not be eligible for a refund. If the booth fee has not yet been paid, the exhibitor is still obligated to pay the full amount as per the above terms.
§24
In the event of event cancellation, the organizer will refund the full booth fee within 30 days of cancellation. If the event is rescheduled, exhibitors may request a full refund within 30 days of the rescheduling announcement. Otherwise, the reservation and payment will be transferred to the new date. The organizer does not reimburse other expenses incurred by exhibitors due to event cancellation or rescheduling resulting from unforeseen circumstances.
§25
Posting advertisements, announcements, or information in any form without permission (including stickers or posters) anywhere on the EXPO KRAKÓW premises, outside the rented booth area, is strictly prohibited. All advertising spaces, including walls and doors, are the property of EXPO KRAKÓW, and fees will be applied according to their price list. This applies to EXPO KRAKÓW walls in booths without built structures. To display any advertising materials, please contact wystawca@miohi.pl.
§26
Submitting a booth application or reservation is equivalent to accepting the exhibitor regulations and the convention's general rules. Additional booth rental terms not specified in the regulations are discussed individually with the organizers.
§27
Unauthorized or unpaid booths appearing at the festival will be removed at the exhibitor's expense.
§28
Any additional equipment, passes, or booth space purchased on-site without prior email notification or registration through the form will incur a charge of 200% of the base net price. A detailed price list is available in the registration form or upon request via email.
§29
Every exhibitor is required to display, in a visible place, the booth number provided by the convention or one compliant with the guidelines. Guidelines: the sign must be black and white or in another strong contrast, legible, and printed over at least most of an A5 sheet, displayed in a clearly visible place.
Commercial exhibitors are required to indicate which goods at their booth were created using artificial intelligence (AI), so that customers can review this information before purchase. The information on the notice must read: “the goods at this booth were generated with the help of generative artificial intelligence (AI)”. The information card, which must be placed on such goods, can be obtained by e-mail or physically at the convention from the exhibitor coordinator. The organization may place a card informing about AI-created goods at the booth before or during the event. Removing or hiding the card informing customers about the sale of products created with the help of artificial intelligence (AI) will result in a contractual penalty of PLN 1,000 gross. At ART booths, the sale of products created using generative AI is completely prohibited.
§30
The “Debut Booth” is an initiative aimed at people who have not yet had the opportunity to exhibit on their own. The convention offers the chance to obtain a rotating booth. The booth measures 1 artist module (2 m x 2 m); its equipment includes a tablecloth, several display grids provided by the convention, two chairs, and two tables. The price for applying for a full booth is PLN 100 net per time slot. It is also possible to apply for half a booth for PLN 50 net per time slot. Each day of the convention is divided into 2 or 3 time slots during which a rotating artist may sell their goods. Time slots and artists meeting the convention's requirements will be selected by lottery.
A maximum of one person may apply per rotating booth application. Group portfolios will not be considered.

An artist finishing their slot at a given time is required to clear the table of their goods by the end of their time slot. Failure to vacate the stand at the designated time may result in a contractual penalty of PLN 50 net for every 10 minutes of delay. Detailed instructions on changing the artist at the booth will be provided by e-mail to artists who are admitted to the booth.

Exhibitors must adhere to the convention's general rules and regulations.
